PRIVACY POLICY

Pracdia Private Limited ("Pracdia", "we", "us", or "our") respects your privacy and is committed to protecting personal information entrusted to us.

This Privacy Policy explains how Pracdia collects, uses, processes, stores, shares, and protects information when you visit our websites, communicate with us, use our software or technology services, interact with an AI Receptionist powered or operated by Pracdia, or otherwise use our services.

Our services are primarily designed for doctors, clinics, hospitals, dental practices, healthcare organisations, and other businesses.

This Privacy Policy applies to information collected through www.pracdia.com, Pracdia services and platforms, Thrive and related services, communication channels operated by or on behalf of Pracdia, and other services that link to or reference this Privacy Policy.

By using our services, you acknowledge that you have read and understood this Privacy Policy.

1. About Pracdia

Pracdia Private Limited is a technology and digital services company providing software, artificial intelligence, automation, communication, marketing, patient engagement, and other technology solutions.

Pracdia may provide technology services to healthcare organisations that enable those organisations to communicate with their patients and prospective patients.

Pracdia is not a hospital, clinic, doctor, medical practitioner, emergency service, or healthcare provider.

Where Pracdia provides technology to a healthcare organisation, that organisation may independently determine what information it collects from patients, how it uses that information, and how it provides healthcare services.

2. Information We Collect

Depending on how you interact with Pracdia, we may collect different categories of information.

2.1 Information You Provide Directly

We may collect information you voluntarily provide to us, including:

  • Name;

  • Email address;

  • Telephone or mobile number;

  • WhatsApp number;

  • Information provided when requesting support;

  • Information provided when purchasing or subscribing to a service; and

  • Any other information you choose to provide.

2.2 Information Provided Through AI Receptionist Services

If you interact with a Pracdia-powered AI Receptionist on behalf of a clinic, hospital, doctor, or other healthcare organisation, the conversation may contain information such as:

  • Your name;

  • Phone number or WhatsApp account information;

  • Appointment requests;

  • Preferred appointment dates and times;

  • Doctor or department preferences;

  • Clinic or hospital preferences;

  • Questions about treatments or services;

  • Information you voluntarily provide during a conversation;

  • Appointment confirmations, cancellations, or rescheduling requests;

  • Payment or booking-related information where applicable; and

  • Other information contained within the conversation.

The information collected through an AI Receptionist may depend on how the relevant healthcare organisation has configured the service.

2.3 Healthcare-Related Information

Users may voluntarily provide information relating to their health or medical circumstances when communicating with a healthcare organisation through a Pracdia-powered service.

Such information may include descriptions of symptoms, treatment enquiries, medical history, appointment requirements, or other healthcare-related information.

Pracdia does not require users to provide medical information unless it is necessary for the particular service or interaction.

Users should avoid providing sensitive medical information through a communication channel unless it is reasonably necessary for the purpose of the interaction.

Where a Pracdia service is provided to a healthcare organisation, the relevant healthcare organisation remains responsible for determining what patient information it collects and how that information is used in connection with the healthcare services it provides.

2.4 Information Collected Automatically

When you access our website or certain online services, we may automatically collect technical information such as:

  • IP address;

  • Browser type;

  • Device type;

  • Operating system;

  • Approximate location derived from technical information;

  • Pages visited;

  • Referring website;

  • Date and time of access;

  • Session information;

  • Device identifiers; and

  • Other technical or diagnostic information.

This information may be collected through cookies, pixels, logs, analytics tools, and similar technologies.

3. Information We Collect Through WhatsApp and Messaging Services

Certain Pracdia services, including AI Receptionist services, may operate through WhatsApp or other messaging platforms.

When you communicate with a Pracdia-powered service through WhatsApp or another messaging platform, information from that interaction may be processed by Pracdia and by the relevant messaging platform.

The messaging platform may independently collect and process information according to its own privacy policy and terms.

Pracdia does not control how third-party messaging platforms process information outside the services provided by Pracdia.

Where a healthcare organisation uses a Pracdia-powered AI Receptionist, the organisation may also have access to relevant conversations and information generated through the service.

4. How We Use Information

We may use information collected through our services for legitimate business and service-related purposes, including to:

  • Provide and operate our services;

  • Provide AI Receptionist functionality;

  • Facilitate patient and customer communications;

  • Respond to enquiries;

  • Assist with appointment scheduling and management;

  • Send appointment confirmations, reminders, or updates;

  • Provide customer support;

  • Create and manage user accounts;

  • Perform other purposes disclosed at the time information is collected or otherwise permitted by applicable law.

5. AI and Automated Processing

Some Pracdia services use artificial intelligence and automated technologies.

The information you provide may be processed by AI systems to generate responses, classify enquiries, assist with appointment-related tasks, provide information, automate administrative communication, or perform other functions configured for the relevant service.

AI-generated responses are produced using automated systems and may occasionally be inaccurate, incomplete, outdated, or inappropriate.

Pracdia does not guarantee that every AI-generated response will be correct.

AI Receptionist services are intended primarily for administrative, informational, and communication purposes and should not be relied upon as a substitute for professional medical judgment.

Where medical decisions or urgent healthcare matters are involved, users should communicate directly with an appropriately qualified healthcare professional.

6. Medical and Healthcare Information

Pracdia provides technology services and does not independently provide medical diagnosis, treatment, prescriptions, or medical advice through its AI Receptionist services.

Where a Client configures its AI Receptionist with information relating to medical treatments, procedures, conditions, pricing, doctors, or healthcare services, the Client is responsible for reviewing and maintaining the accuracy of that information.

Pracdia does not independently verify every piece of medical or healthcare information supplied by Clients.

If you are experiencing a medical emergency, you should contact the appropriate emergency service or seek immediate medical attention rather than relying on an AI Receptionist or other automated service.

7. How We Share Information

We do not sell your personal information.

We may disclose or provide access to information to the following categories of recipients where reasonably necessary for the purposes described in this Privacy Policy.

7.1 Clients and Healthcare Organisations

If you communicate with a Pracdia-powered AI Receptionist on behalf of a clinic, hospital, doctor, or other organisation, relevant information from your interaction may be made available to that organisation.

For example, an organisation may receive information relating to an appointment request, contact details, enquiries, or communications submitted through its AI Receptionist.

The organisation may process that information according to its own privacy practices and applicable legal obligations.

  • Comply with applicable law;

  • Respond to lawful requests from authorities;

  • Comply with legal processes;

7.4 Business Transfers

If Pracdia is involved in a merger, acquisition, restructuring, financing, sale of assets, or similar business transaction, personal information may be transferred as part of that transaction, subject to applicable law.

8. Third-Party Services

Pracdia may integrate with or rely upon third-party services to provide certain functionality.

These may include messaging platforms, AI providers, payment gateways, cloud infrastructure providers, analytics providers, calendar systems, authentication providers, and other technology providers.

Third-party services operate independently from Pracdia and may have their own privacy policies and terms.

We encourage Users to review the privacy policies of third-party platforms they use.

Pracdia is not responsible for the independent privacy practices of third parties.

9. Payment Information

Where our services involve payments, transactions may be processed through third-party payment providers.

Depending on the payment method used, Pracdia may receive limited transaction information such as payment status, transaction reference, amount, billing information, or other information necessary to administer the transaction.

Sensitive payment credentials, such as card numbers, may be processed directly by the relevant payment provider rather than stored by Pracdia.

Payment providers may process information according to their own privacy policies and terms.

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide our services, to maintain business and transaction records, to resolve disputes, to enforce agreements, to maintain security, or to comply with applicable legal and regulatory obligations.

The specific retention period may vary depending on:

  • The type of information;

  • Security and operational requirements; and

  • Whether the information is required to resolve a dispute or enforce an agreement.

When information is no longer required, we may delete, anonymise, aggregate, or otherwise securely dispose of it, subject to applicable legal and legitimate business requirements.

13. Data Security

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, disclosure, or destruction.

Depending on the service, security measures may include access controls, authentication mechanisms, encryption, secure hosting, monitoring, logging, backups, and other security practices.

However, no system, website, network, or electronic transmission can be guaranteed to be completely secure.

Accordingly, we cannot guarantee absolute security of information transmitted through the internet or other communication networks.

14. International Data Processing

Some of our technology and service providers may operate in countries outside India.

As a result, information may be processed or stored in locations outside the country in which it was originally collected, subject to applicable legal requirements.

Where information is transferred across borders, we will take reasonable steps to ensure that such processing is carried out in accordance with applicable law and appropriate contractual or organisational safeguards where required.

15. Children's Privacy

Our services are generally intended for adults, businesses, healthcare organisations, and their patients or customers.

We do not knowingly seek to collect personal information from children for purposes unrelated to the provision of services.

If you believe that a child has provided personal information to us without appropriate permission or in circumstances where such collection is not permitted, please contact us so that we can review and take appropriate action.

Where Pracdia processes information on behalf of a Client, we may direct your request to the relevant Client where appropriate.

18. Data Accuracy

We rely on Users and Clients to provide accurate and current information.

If you discover that information we hold about you is inaccurate or incomplete, you may contact us and request that it be corrected, subject to applicable verification and legal requirements.

Clients are responsible for maintaining the accuracy of information they provide for use within their Pracdia services, including doctor information, clinic information, appointment information, treatment information, pricing, operating hours, and other content.

19. Client Responsibilities

Where Pracdia provides technology services to a doctor, clinic, hospital, or other organisation, the Client is responsible for:

Pracdia does not assume the Client's legal or regulatory responsibilities as a healthcare provider.

20. Data Controller and Service Provider Relationships

Depending on the service and circumstances, Pracdia may process personal information on its own behalf or on behalf of a Client.

For example, when providing technology infrastructure to a clinic, the clinic may determine the purposes for which patient information is collected, while Pracdia may process that information as part of providing the technology service.

The applicable roles and responsibilities may vary depending on the service, contractual arrangement, and applicable law.

Where appropriate, additional contractual terms or data-processing agreements may apply between Pracdia and its Clients.
